Billing Information

The Billing Information section of your profile lists the credit cards you want to use for travel reservations. From here you can add, edit, or delete credit cards. This screen uses encrypted (SSL) mode to safely transmit your credit card information. Some companies may have a firewall inhibiting the encryption layer.

To View Your Profile Billing Information

Click the Profile supertab, then click Billing Information in the profile tree, or select Profile > Billing Information from the main menu. The Billing Information screen opens. It displays the following information about your credit cards.

To Add a Credit Card to Your Profile

  1. In the Billing Information screen, click the Add a New Credit Card link. A form opens to let you add a new credit card.

  2. Enter the credit card information in the form.

  3. Click Save. The Billing Information screen refreshes.

To Edit a Credit Card

  1. In the Billing Information screen, click the Edit link in the Edit/Delete column. A form opens to let you edit a credit card.

  2. Edit the credit card information.

  3. Click Save. The Billing Information screen opens.

To Delete a Credit Card

In the Billing Information screen, click the Delete link in the Edit/Delete column. The Billing Information screen refreshes to show the new information.

Billing Information Fields

The following table lists the fields and controls typically found in the Billing Information section of your profile.

Field or Control

Description

Name

A name for the credit card, such as Purchasing Visa or Corporate Amex.

Note: You must assign a name to each card for security purposes. Over the remainder of the site, the credit card is referred to by its stored name for added security.

Card

The type of credit card (Visa, MasterCard, American Express, etc.) and the number, X'd out except the last four digits.

Expiration Date

The expiration date of the credit card. If the card has expired or will expire within 30 days, a red exclamation point is displayed next to the date.

Use as "My Preferred"

Icons representing the types of travel segments for which this is the preferred credit card.

Air

Car

Hotel

 Web Bookings (Air)

Parking

Edit/Delete

Click the Edit link to edit credit card information.

Click the Delete link to delete a credit card from your profile.

Add a New Credit Card

Click the Add a New Credit Cardlink add a new credit card to your profile.

The following table lists the fields and controls typically found in the add or edit credit card screens.

Save

Click Save to save the credit card to your profile.

Cancel

Click Cancel to discard your changes and return to the previous screen.

Do not allow traveler to modify this card

Administrator's only. A check indicates that the traveler will be able to view the credit card, but any changes will need to be made by an administrator.

Name of Credit Card

A name for the credit card, such as "Purchasing Visa" or "Corporate Amex."

Type

The type of credit card (e.g., Visa, MasterCard, American Express).

Credit card may be used for the following types of reservations

A check indicates that the credit card can be used to make reservations for that type of travel segment (Air, Car, Hotel, Web Bookings (Air), Parking).

Use as "My Preferred" when booking

A check indicates that the credit card will be considered preferred when reserving that type of travel (Air, Car, Hotel, Web Bookings, Parking). Only one card can be preferred for each type of travel, so the checkbox will be disabled if another card is already preferred.

Card Number

If you are editing a credit card, the number will be displayed, X'd out except the last four digits.

Enter New Card Number

The new credit card number, if applicable.

Note: For a UTAP card, leave this field blank.

Expiration Date

The expiration date for the card.

First Name

Your first name as it appears on the credit card.

Middle Initial

Your middle initial if it appears on the credit card.

Last Name

Your last name as it appears on the credit card.

Address 1

The first line of the billing address for the credit card.

Address 2

The second line of the billing address.

City

The city in the billing address.

State/Province

The state or province in the billing address.

ZIP/Postal

The ZIP or postal code in the billing address.

Country

The country in the billing address.

Phone # associated with this address

The country code, city or area code, and phone number associated with the billing address.
