Travel Preferences

The Travel Preferences section can be accessed in two different areas.  Your default travel preferences are accessible within the Travel Preferences tab in Travel.  These settings can by changed on a per trip basis.  Any changes made in this section will not be saved to your profile as future default settings.  To view all travel preferences or make permanent changes you will need to go to your Profile.

To Edit Your Travel Preferences

  1. Click the Profile supertab and click Travel Preferences in the profile tree, or select Profile > Travel Preferences from the main menu. The Travel Preferences screen opens, showing a list of air, car, and hotel preferences.

  2. Set the preferences you want.

  1. Click Save. You will see the message, "Profile has been updated successfully" at the top of the screen.

Click Print to print the screen.

Travel Preferences Fields

The Travel Preferences section of your profile stores your preferences for air, car and hotel travel.

The following table lists the fields and controls typically found in the Air Settings section of the Travel Preferences screen.

Field or Control

Description

Preferred Airlines

Up to three airlines on which you would prefer to travel.

Note: Company-specified preferred airlines override traveler preferred airlines.

Excluded Airlines

Up to three airlines you would like excluded from air availability searches.

Note: If you exclude a preferred airline, the exclude will override the preferred option.

Default Class of Service

Your preferred class of service (e.g., Coach/Economy, Premium Economy, Business, and First).

Note: Premium economy is offered on Virgin Atlantic and British Airways only.

Meal Preference

Your special meal preference, if any (e.g., Diabetic, Kosher, Vegetarian, etc.).

Note: All special meals may not be offered on all airlines.

Seat Preferences

 

Preferred Seat

Your preferred seat location (e.g., aisle, window, etc.)

On seat maps hide me from other travelers

A check in this box indicates that you will be hidden on seat maps from other travelers in your company.

Note: This applies only for a specific flight.

Improve seating based on selections

A check in this box indicates a system request to improve seating based on the settings in the six drop-down boxes below it (1st, 2nd, 3rd, 4th, 5th, and 6th).

Note: Not all improvements can be honored.  It depends on availability and whether the airline allows you to select your seating preference.

Extended Options

 

Time Search Window

The time variance, earlier or later than the requested time of a flight, you are willing to leave (between 1 and 12 hours).

Default Origin City

The code for the home airport from which you usually depart.

Maximum Number of Connections

The maximum number of connections you are willing to accept for a flight.

Accept penalty fares

A check in this box indicates that you are willing to accept penalty fares.

Accept connections

A check in this box indicates you are willing to accept connections.

Search for lower fares

A check in this box indicates the system is requested to search for the lowest priced air fares.

Search for fares using multiple airports

A check in this box indicates that when the system searches for the best fare to a destination with more than one airport, it will display options for all local airports in addition to the one specified.

Search preferred airlines

A check in this box indicates the system is requested to search for fares on preferred airlines.

Use excluded airlines during fare search

A check in this box indicates the system is requested to ignore excluded airlines when searching for fares.

Search for company contract fares

A check in this box indicates the system is requested to search for fares compliant with company contracts.

Perform Contract Fare Search During Trip Template

A check in this box indicates that the system is requested to search for contract air fares while using a trip template.

Search for low fares during template processing

A check in this box indicates that system will check for lower fares when using a trip template request.  

Search for Internet fares

A check in this box indicates that the system is requested to search remote airline web sites during availability.

Search for U.S. Government contract fares

A check in this box indicates that the system is requested to search for government fare codes and display resulting options with the appropriate icon on the Air Availability screen.

Airport Defaults

Enter the name of a city, an equal sign (=), and the airport code for the airport you want used as a default for that city.  Put each city on a new line.

Special Instructions

Enter any special instructions you have for air travel (e.g., wheelchair, minor, etc.)

Preferred Passenger Type

Your appropriate passenger type, if applicable.

AAirpass Settings

 

Coach/Economy Class

rate per mile

For American Airlines only.  The coach rate for AAirpass users.

Business Class Differential

%

For American Airlines only.  The percentage differential from coach for business class.

First Class Differential

%

For American Airlines only.  The percentage differential from coach from first class.

Start Date

For American Airlines only.  The date the AAirpass is first valid.

End Date

For American Airlines only.  The date the AAirpass expires.

Ticketing Options

 

Ticket Type

Whether you want paper tickets or electronic tickets (E-Tickets).

 

Note:  Not all flights or airlines offer electronic ticketing.  The system defaults to paper tickets if that is the case.

Delivery Address

Where you would like the tickets delivered (Work, Home, or Auto-select).

Airline Tickets - Default Method of Payment

Your default method of payment for air tickets, such as a credit card stored in your profile.

Web Bookings - Default Method of Payment

Your default method of payment for web bookings.

 

The following table lists the fields and controls typically found in the RailSettings section of the Travel Preferences screen.

Default Class of Service

Your preferred class of service (e.g., Coach, Business, and First). Your selection here will be the class of service that is automatically searched for in the system.

Default Origin Rail Station

The code for the home rail station from which you usually depart.

Search for US Government Fares

A check in this box indicates you wish to have your rail itineraries priced as government fares.  Government ID is required to travel on these fares.

 

Ticketing Options

 

 

Ticket Type

Whether you want paper tickets or electronic tickets (E-Tickets).

Delivery Address

Where you would like the tickets delivered (Work, Home, or Auto-select).

Rail Tickets - Default Method of Payment

The credit card you prefer to use to purchase your rail reservations.

 

The following table lists the fields and controls typically found in the Car Settings section of the Travel Preferences screen.

Preferred Car Type

The type of car you prefer to rent (e.g., compact, economy, luxury, etc.).

Use preferred car companies

A check in the box indicates that the system is requested to search for preferred car companies and companies with car contracts (assigned by the administrator) when requesting rental car availability.

Associate airline frequent flyer numbers in car reservations

Associate airline frequent flyer numbers stored in your profile with car reservations.

When this box is checked, the system will check to see if you have an airline designated with booked vendor in the Car Loyalty Association section. If so, that airlines FF # will be sent with the car booking.  If no Car Loyalty settings exist, the system will look in your profile, under Air Membership Numbers to see if you have an airline FF # that is also a participating vendor with the car vendor being booked. If so, this number will be included in the car reservation which will send an automated message to the vendor.  

Note: If you also have an ID number (i.e. Avis Wizard, Hertz Gold,  etc) both numbers will be included and the car company may only give credit to one.  You will need to validate this with the car vendor upon check-in.

Special Request

Special requests you have for the rental car company (leather seats, non-smoking, etc.).

Note: The rental car company is not obligated to honor this request, however they will receive it on the reservation record.

Guarantee with credit card if required

A check in this box indicates that the system is requested to allow you to reserve cars from rental car companies that require a credit card at the time of booking.

Credit Card for car deposit

The credit card you prefer to use to guarantee rental car reservations.

 

The following table lists the fields and controls typically found in the Hotel Settings section of the Travel Preferences screen.

Description

Preferred Hotel Chains

Up to three hotel chains with whom you prefer to stay.

Limit to preferred chains

A check in this box indicates that the system is requested to limit hotel availability searches to preferred hotels or hotels with hotel chain contracts (assigned by the administrator).

Excluded Hotel Chains

Up to three hotel chains you want excluded form hotel availability searches.

Apply Excluded Hotel Chains

A check indicates that the system is requested to exclude the hotel chains selected from the three drop-down lists below from the availability search.

Smoking Preference

This selection indicates whether you prefer a smoking or non-smoking room.

Additional Requests

Special requests you have for the hotel (e.g., quiet room, Internet connection).

Note: The hotel is not obligated to honor this request, however they will receive it on the reservation record.

Hotel Search Radius

Only hotels within the selected search radius (1-20 miles) will be returned in availability, except for preferred and contract hotels.  If a hotel is returned that is located outside the search radius, it will be identified with an icon.

Preferred Rate Type

Your special rate type, if applicable.  If a rate is selected, the system will search for rates containing that type (e.g., government, senior, AAA).

Preferred Credit Card

 

The credit card you prefer to use to guarantee hotel reservations or a deposit charge, if needed.

Associate airline frequent flyer numbers in hotel reservations

Associate airline frequent flyer numbers stored in your profile with hotel reservations.

When this box is checked, the system will check to see if you have an airline designated with the hotel vendor being booked in the Hotel Loyalty Association section of your profile.  If so, that airlines FF#  will be sent with the booking.   If no Hotel Loyalty settings exist, the system will look in your profile, under Air Membership Numbers to see if you have an airline FF # that is also a participating vendor with the hotel chain being booked. If so, this number will be included in the hotel reservation which will send an automated message to the hotel vendor.  

Note: If you also have a frequent guest number (i.e. Hilton Honors, Marriott Rewards, etc) both numbers will be included and the hotel may only give credit to one.  You will need to validate this with the hotel at check-in.   

Do not display Crown Ratings on Hotel Availability

A check here indicates that the Crown Rating icon will not display on the Hotel Availability or Hotel Information pages.

Only Display hotels with crown ratings of X and up.

This drop down box allows you to filter hotels from the display that have a minimum crown rating (between 1 and 5).This does not apply to company preferred or contract hotels.

Preferred Credit Card

A drop down box to choose a default credit card that will be used as hotel guarantee form of payment at time of booking.
